The role decides the jobs.

One choice when you invite someone sets what they can open from then on.

  • 7 roles, by how far they reach

    Owner and Co-owner run everything. Admin runs the team and settings, everything but billing. Office sees every job, with no billing, company settings or automations. Viewer reads every job and changes nothing. Member sees only the jobs they are put on. Field crew sees only the jobs they are put on, and clocks in and out.

  • Invite with a role and the jobs

    No role is picked for you. You choose one on purpose, and each choice says which jobs it sees. For Field crew or Member, tick the jobs they work, or pick Every job, now and future. Each waiting invite shows the jobs it carries and, when it has one, the crew record it hands over. An expired one has Send a new one, which carries its jobs that are still open, or Every job.

  • Every job, now and future

    Set a Member or Field crew person to Every job, now and future, when you invite them or on their person sheet. They go on every open job, and on each new job as it is made. Closed jobs are never added. Switch back to Only the jobs I pick and they come off the jobs Every job put them on. Jobs you or a crew had put them on before stay. The switch is refused while they are clocked in on one of those jobs.

  • A crew puts its people on its jobs

    Add someone to a crew and they go on the crew's open jobs. Take them off the crew, or delete the crew, and they come off only the jobs that crew gave them. Jobs you put them on by hand, jobs another of their crews holds, and anyone on every job stays on the open ones. Nobody is taken off while they are clocked in on one of those jobs.

  • Add-ons give one person a bit more

    Everyone has one role. An add-on is a short list you make on Roles and give to one person on top of their role. It only adds, and never adds jobs. Office can take any add-on but billing, and Admin already has everything but billing. A Viewer's add-on adds reading only, and that can include pay rates and hours, contract money and everyone's commissions. Member and Field crew take none. Roles shows what each role sees and won't see, and who has which add-on.

  • They sign in right on the invitation

    The invitation email leads with your company's logo or name and a card with the role you picked. Someone who already has a login finds their address filled in, types only their password, and lands in your company. Password and sign-in emails come from no-reply@flpermitpay.com.

  • What crew see on their jobs

    Their own jobs. On each one, the job's address and the customer's name and phone number, and not the customer's email or notes. They add and look at that job's photos and documents. No other jobs, and no wage rates.

  • A first day that fits the role

    In the browser, a new crew member meets the company's name and the jobs they are on, then 3 stops led by Clock in. The phone app shows its own tabs instead. Anyone else who joins sees "You joined" and the company's name, with the jobs their role reaches, read from the database.

  • Remove someone, and their access ends

    Take a person out of the company and they can no longer open its jobs, photos or documents. A photo or file link already open on their screen stops working within the hour. Their hours and their place on the crew roster stay with the company. Take their login back asks for your password first. Someone on the roster with no login gets an Invite button on their sheet instead.

Put each person on the jobs they work.

Pick the role, tick the jobs, send the invite. They see what their role reaches, and nothing past it.

Each role's reach is enforced by the database, not only by what the screen shows.
